About the opportunity

We are seeking an experienced, highly capable Executive Assistant to join our team in Emerald on a fixed-term basis to cover a period of parental leave. This 6-month contract offers the opportunity to step into a pivotal senior role, providing high-level administrative and secretarial support to the CEO and the Senior Leadership Team. Operating in a dynamic and purpose-driven environment, the Executive Assistant acts as a trusted point of contact for the organisation’s most senior stakeholders — both internal and external. This requires a solid level of professionalism, discretion, and sound judgement, along with a genuine commitment to the organisation’s mission and values.

What you will be doing

  • Performing responsibilities in coordinating the Annual General Meeting of members.
  • Assisting the Board with induction processes for new Board members.
  • Performing responsibilities associated with Board activities including coordinating strategic planning and review activities, coordinating Board performance review, training, and Board records management, quality and compliance.
  • Maintaining the schedule of meetings for the Board, CEO and the Leadership Team including any Sub Committees, and preparing and distributing Board meeting papers and agendas.
  • Preparing, drafting, proofreading and executing accurate business correspondence and presentations on behalf of the Board, CEO and Leadership Team.
  • Coordinating and attending all meetings of the Leadership Team, Board and Board sub-committees including compilation and distribution of meeting reports, agendas, minute taking and follow up actions.
  • Assisting with the review of organisational policies, procedures and other documents as requested.
  • Assisting in managing Board and CEO correspondence and responding appropriately on behalf of the Board and CEO.
  • Working cross-functionally internally and with stakeholders to coordinate and host meetings and events.
  • Undertaking individual projects on a diverse range of issues and providing options to solve problems and issues impacting on governance and performance.
  • Maintaining compliance in recording keeping in relation to the obligations and activities of the organisation.
  • Assisting with event management.
  • Assisting in preparation for, and participating in, external audits as required.
  • Keeping up to date with NDIS related news, sector changes and developments and ensuring priorities are brought to the attention of the CEO and Executive.

What we are looking for

  1. Qualifications in relevant fields such as Business Administration, Governance, Leadership and Management and at least 2 years previous experience in providing executive support and assistance at a senior level.
  2. Experience supporting board-level governance and secretariat functions.
  3. Experience working within the NDIS and/or Not for Profit sector is desirable.
  4. Highly developed analytical ability and a demonstrated ability to make decisions within delegations.
  5. Highly developed interpersonal skills.
  6. Demonstrated ability to communicate, collaborate and negotiate effectively with a range of internal and external stakeholders ensuring tasks are completed in line with agreed expectations about timelines, quality and resource use.
  7. Proven ability to deal with matters sensitively, confidentially, and courteously with all stakeholders. A high level of confidentiality, tact, discretion, initiative, and sound judgement.
  8. Well-developed organisational skills with the ability to prioritise and manage time efficiently.
  9. Excellent computer skills with knowledge of Microsoft Office in particular Word, Excel, and Outlook and desktop publishing.
  10. Strong organisational skills, with the capacity to successfully manage competing priorities, maintain attention to detail and meet deadlines.
  11. Experience in taking prompt action to accomplish objectives, motivated to achieve goals beyond requirements and takes responsibility for achieving own work and team outcomes.
  12. Demonstrated experience in Quality Improvement activities.
  13. NDIS Worker Screening Clearance Status.
  14. Working with Children Check – Positive Notice.
  15. Current and full First Aid and CPR certificate (or ability to obtain one).
  16. Understanding and commitment to the human rights of people with a disability.

Desirable

  • Experience in the disability, community services, or not-for-profit sector
  • Familiarity with NDIS quality and safeguarding frameworks
  • Knowledge of privacy legislation and confidentiality obligations
